Complex complaints, sensitive customers, judgment calls, negotiation, unusual scheduling and relationship management are usually better handled by a trained person.
Repetitive intake questions, overflow calls, after-hours enquiries and consistent data collection are strong use cases. The system can also help a small team avoid interrupting technicians for every initial call.
Do not compare only a software subscription with a salary. Include setup, usage, supervision, integration work, error handling and the value of human judgment. Likewise, human staffing has wages, taxes, coverage and management costs.
A common practical model is human staff during normal operations with AI handling overflow or after-hours calls. The AI captures the basics and the human team takes over when judgment or service commitment is required.
If most calls are complex and relationship-driven, hire or retain people. If many calls follow a predictable intake pattern and are being missed, test automation on that narrow problem first.
